About this project

Our own chatbot, built in a single morning — and converting prospects ever since

This project is a textbook example of what every agency should do: build for yourself what you build for clients. For months, the creation of a chatbot for our own BOVO Digital website had been pushed back, again and again, because client work always came first. One dedicated morning, we shipped it. Within days it was already qualifying prospects, booking calls, and answering FAQs while we slept. It became an instant case study in the power of internal tooling.

What the chatbot actually does

The assistant was designed from day one as a real virtual sales assistant, not a "hello how can I help you" toy. It handles the critical stages of the prospect journey end to end.

  • Automated appointment booking: the bot is connected to the team's calendars and proposes genuinely available slots in real time. No more email ping-pong to find a 30-minute window; the prospect picks a slot and it is booked, confirmed, and added to both calendars instantly.
  • Smart availability checks: conditional logic cross-references multiple team calendars, respects working hours and time zones, and surfaces the best options for each prospect depending on the service requested. A "discovery call" with the founder does not surface the same slots as a "technical scoping call" with an engineer.
  • Dynamic FAQ module: the bot immediately handles recurring questions (pricing ranges, typical timelines, list of services, how we work, where we are based, collaboration process). Prospects get an instant answer and the team stops repeating the same paragraph five times a day.
  • Lead qualification: before a human ever sees the conversation, the bot asks strategic, calibrated questions to judge whether the prospect is a real opportunity. Unqualified leads get the information they need without hijacking the team's calendar.
  • Commercial pre-negotiation: the bot gently steers prospects toward realistic price ranges based on scope, so the first call with a human starts from a healthy baseline instead of from a twelve-thousand-euro gap between expectation and reality.

How it is built

The implementation combines nocode tools and custom development. Nocode was used for the rapid bootstrap of the conversational interface and the simpler logic branches. Custom development was layered on top for everything nocode alone cannot handle cleanly: team calendar integration, advanced qualification scripts, exception handling, and tracking each conversation so we can continuously improve the scripts based on real data.

This hybrid approach is the honest answer to a tradeoff every agency faces: pure nocode is fast but hits walls; pure custom is powerful but slow to ship. Using both, with a clean boundary between them, gives the best of each world.
