From capture to signature — a multi-channel funnel that runs itself
Cold leads rarely turn into clients on the first touchpoint. The difference between a conversion rate of 2% and a conversion rate of 12% is almost entirely about what happens after the sign-up: how fast, how consistent, how personalized the follow-up is across channels. This project is a full-stack conversion funnel that handles the entire journey from the opt-in form to the signed deal, with AI qualification at the center and four channels working in concert.
The automated journey, end to end
Capture and trigger The moment a prospect registers through Systeme.io, a webhook fires Make.com. The workflow starts immediately — no batch job, no delay, no risk that the prospect cools off before the first message arrives.
AI qualification (NEPQ framework) A conversational AI agent opens the dialogue with each new prospect on WhatsApp. It follows a NEPQ-inspired question flow (Neuro-Emotional Persuasion Questioning): problem-awareness questions, consequence questions, solution-awareness questions, commitment questions. The goal is not to "sell" in a cold DM — the goal is to qualify in real time whether this prospect is worth a call with a human closer. GPT drives the conversation, interpreting free-text answers and classifying intent rather than forcing the prospect down a rigid decision tree.
Smart multi-channel follow-up If the prospect goes silent, the system automatically re-engages: WhatsApp first (because it is where the conversation started), then SMS after a calibrated delay, then email as a safety net. Each channel has its own message, its own tone, its own timing. No prospect is ever abandoned after a single missed reply.
Automated Calendly booking When the AI detects commitment, it sends the Calendly link at exactly the right moment. If the prospect books, the system fires off confirmation and reminder sequences automatically — 24 hours before, 1 hour before, 10 minutes before. Calendar events, reminders, timezone handling: all invisible to the prospect, all flawless.
Segmentation and Google Sheets CRM Every prospect is tagged in real time with a status: qualified, unqualified, silent, no-show, closed, lost. A lightweight Google Sheets CRM serves as the single pane of glass for the Sales team. Filters, pivot tables, and per-closer dashboards are built in. A weekly report is generated automatically per closer, so management sees performance without asking for spreadsheets.

A traditional CRM tracks what happened. This funnel makes things happen — it is an operational system, not just a reporting system.
