Lead Capture and Email Campaign Automation
End-to-end lead nurturing: Systeme.io capture, instant welcome SMS via Twilio, and a full email sequence in ActiveCampaign — all orchestrated hands-free by Make.com.
DiscussAbout this project
Capture a lead at 11 p.m. — send them a welcome SMS at 11:01
Reactivity is the first lever of conversion. The gap between the moment someone shows interest and the moment you first respond is often the difference between a closed deal and a forgotten lead. This workflow guarantees that every prospect who signs up through Systeme.io receives an immediate, multi-channel welcome — email and SMS — no matter the time of day or night.
The complete system
Capture via Systeme.io As soon as a prospect submits the registration form, Systeme.io fires a webhook to Make.com. The workflow activates in real time, so there is never a delay between intent and acknowledgment on the prospect's side.
Instant welcome SMS via Twilio Within seconds of sign-up, the prospect receives a personalized SMS on their phone. First touchpoint, warm tone, immediate professional impression. This single detail often carries more weight than any later marketing asset, because it is unexpected and fast.
Email sequence via ActiveCampaign In parallel, the contact is added to an ActiveCampaign list and automatically enters the challenge's email sequence: confirmation email, value content, daily reminders, a "final day" push. The sequence is pre-authored; automation handles enrollment and timing flawlessly.
Make.com orchestration The workflow handles conditional logic (data validation, duplicate detection, email format checks, phone format normalization), error handling with retries, and parallel synchronization across both channels so the SMS and the first email arrive essentially simultaneously, not minutes apart.
Why combine SMS and email?
- Email offers guaranteed deliverability, rich content, and direct links to the challenge platform, the calendar, or the resource bundle.
- SMS offers a 98% open rate and is read in under 3 minutes on average.
Used together, the two channels cover the full spectrum of prospect behavior. Some people live in their inbox; others barely open emails but never miss an SMS. Sending on both maximizes the chance that the first meaningful interaction happens within minutes of sign-up — which is exactly when intent is highest.
What this project proves
Lead capture is not a finish line. What actually moves the needle is post-sign-up reactivity. This workflow enforces that reactivity as a system, not as a hope. The client knows for a fact that every single lead, regardless of time zone, device, or day of the week, gets the same high-quality welcome within the same tight window.
Technology stack
- Systeme.io for landing pages, forms, and lead capture.
- Make.com for real-time orchestration.
- Twilio for transactional SMS delivery.
- ActiveCampaign for the ongoing email nurturing sequence.
